1. Introduction
Sawtna (“we,” “our,” or “us”) is committed to protecting the privacy and confidentiality of all users of the Sawtna platform. This Privacy Policy explains how we collect, use, store, and protect personal data in accordance with Jordan’s Personal Data Protection Law (PDPL 2023) and applicable international standards. By using Sawtna, you agree to the terms of this Privacy Policy. If you do not agree, please do not use the platform.
2. Who We Are
Sawtna is an Arabic voice AI platform for nursing clinical documentation.
3. What Data We Collect
3.1 Nurse Account Data
Nurse account data may include your full name and professional title, the email address or phone number used for login, your department and hospital affiliation, login timestamps and session activity, and consent records with timestamps.
3.2 Voice and Clinical Documentation Data
Voice recordings are processed in real time and deleted immediately after transcription; they are never stored on any server. Generated clinical notes are stored encrypted and linked only to an anonymous patient identifier; patient full names are never stored on Sawtna servers. We also retain the timestamps of notes created and approved, as well as edit history showing whether a note was modified before nurse approval.
3.3 Usage and Technical Data
Usage and technical data may include feature usage patterns used for product improvement, error logs for debugging and quality assurance, audit event logs that record who performed an action and when without patient-identifiable information, dashboard analytics available to hospital administrators, and IP address and device type for security purposes.
4. What We Do NOT Collect or Store
Sawtna does not collect or store patient full names, patient national ID numbers or government identification, or financial information of any kind. Voice recordings are permanently deleted within seconds of transcription. We do not collect biometric data, and we do not collect patient diagnoses beyond what the nurse chooses to document.
5. How We Use Your Data
We use data to generate and store clinical nursing notes on behalf of the nurse and hospital, provide hospital administrators with real-time usage dashboards and audit logs, improve the accuracy of AI-generated clinical notes only with explicit nurse consent, send important service notifications and security alerts, comply with legal and regulatory obligations under Jordan PDPL 2023, and investigate and resolve technical issues and support requests.
6. Legal Basis for Processing
Under Jordan PDPL 2023, we process personal data where it is contractually necessary to provide the services agreed upon with the hospital, where it serves our legitimate interests in maintaining platform security and improving service quality, and where you provide consent for optional voice data used to improve transcription accuracy.
7. Data Storage and Security
All data is stored on encrypted servers using industry-standard AES-256 encryption at rest and TLS 1.3 encryption in transit. Access to data is restricted to authorized users through individual login credentials and role-based access controls. Sawtna uses AssemblyAI for speech processing. AssemblyAI meets enterprise-grade security standards and does not retain audio after processing. Sawtna maintains an append-only audit log of all system actions. This log cannot be modified or deleted and is available to hospital administrators for compliance review.
8. Data Retention
Voice recordings are deleted immediately after transcription, within seconds. Clinical notes are retained for the duration of the hospital contract plus 12 months, then permanently deleted. Nurse account data is retained while an account is active and deleted within 30 days of account closure upon request. Audit logs are retained for 36 months for compliance and legal purposes, while usage analytics are retained in anonymized form for 12 months.
9. Your Rights Under PDPL 2023
Under Jordan’s Personal Data Protection Law 2023, you may request access to your personal data held by Sawtna, correction of inaccurate personal data, deletion of personal data subject to legal retention requirements, withdrawal of consent for optional data processing, and your data in a structured, machine-readable format. You may also lodge a complaint with the relevant Jordanian data protection authority. To exercise these rights, contact privacy@sawtna.app. We will respond to all requests within 30 days.
10. Data Sharing
We do not sell, rent, or trade personal data with any third party for commercial purposes. Data may be shared only with the hospital administrator for staff management and compliance purposes; technology partners strictly for service delivery, specifically AssemblyAI for voice transcription under strict data processing agreements; when required by Jordanian law, court order, or regulatory authority; or in the event of a merger or acquisition, in which case affected users will be notified in advance.
11. International Data Transfers
Voice audio is processed by AssemblyAI, whose servers may be located outside Jordan. This transfer is conducted under appropriate data protection safeguards and contractual protections. No patient-identifiable information is included in any data transferred outside Jordan.
12. Data Security Breach Notification
In the event of a data security breach that poses a risk to user rights, Sawtna will notify affected hospitals and users within 72 hours of becoming aware of the breach, in accordance with Jordan PDPL 2023 requirements. Notification will include the nature of the breach, data affected, and steps taken to mitigate the impact.
13. Children’s Privacy
Sawtna is intended for use by licensed healthcare professionals only. We do not knowingly collect data from individuals under the age of 18. If we become aware that a minor has provided personal data, we will delete it immediately.
14. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. We will notify all registered users of material changes via the platform or email at least 14 days before the changes take effect. Continued use of Sawtna after the effective date constitutes acceptance of the updated policy.
